For our growing company in Zurich, we are looking for a structured, proactive and reliable Bookkeeping, Operations & HR Specialist 60% (m/f/d) who will actively contribute to our daily operations and play a key role in ensuring smooth processes within our practice.

Your responsibilities

  • Responsibility for accurate and timely invoicing to patients and insurance companies
  • Monitoring outstanding invoices and proactively following up to ensure timely payment collection
  • Ensuring that outstanding payments are collected within 30 days whenever possible
  • Processing, reviewing, and organizing incoming invoices, as well as supporting general bookkeeping activities
  • Creating and maintaining Excel-based financial, payment, and operations tracking systems
  • Ensuring that cost approvals and insurance authorizations remain valid at all times and are fully documented
  • Ensuring that no cost approvals expire due to administrative oversight
  • Tracking deadlines and coordinating with therapists regarding reports and renewal requests
  • Supporting payroll processes, vacation, sick leave, and bonus administration
  • Handling approximately 20% HR administration, including maintaining employee records and documentation
  • Organizing clinic orders, managing operational expenses, and ensuring smooth day-to-day clinic operations
  • Providing administrative support to management with recurring organizational tasks

Your profile

  • Completed commercial training or equivalent qualification
  • Experience in bookkeeping, finance administration, operations, or a similar administrative role
  • Excellent Excel skills – confident working with complex spreadsheets, analyses, tracking tools, and reports
  • Strong numerical understanding with a highly accurate and structured approach to work
  • Ability to coordinate multiple processes, deadlines, and priorities simultaneously
  • High level of reliability, ownership, and sense of responsibility
  • Proactive personality with the ability to independently drive tasks forward and consistently follow up on open topics
  • Comfortable and persistent in following up with patients, insurance companies, therapists, and employees when required
  • Confident and professional communication skills when interacting with patients, insurance companies, therapists, employees, and management
  • Experience in healthcare, insurance administration, bookkeeping, or HR administration is an advantage
  • English proficiency at C1 level, written and spoken (mandatory), as the role involves close collaboration with the CEO
  • Very good German language skills, written and spoken
